Meeting Room Policy
Library meeting rooms are designed and intended for library programs and services. As part of its mission, Bemis Public Library also makes meeting rooms available to the public for the presentation and exchange of information at no charge. Rooms are available on equal terms to all persons and groups, regardless of opinion or affiliation.
The library has one large meeting room (20 to 100 people) and one small conference room (six to 20 people). These rooms may not be reserved by groups of fewer than six; such groups may use of one of the library’s study rooms or common areas instead.
Meeting room booking requests are processed on a first-come, first-served basis and are subject to approval. Booking requests may be placed no less than two days in advance, and no more than 90 days in advance, of the desired reservation date and start time.
Library meeting rooms are not available for use outside of the library’s hours of operation.
Groups using library meeting rooms are responsible for setup and cleanup. Facilities must be left in a clean and orderly condition. Users may be charged for repair of any damage incurred. Bemis Public Library is not responsible for materials or equipment left in the meeting room by users.
All setup and cleanup must be completed during the reservation timeframe. Users are advised to account for such time in their booking request, out of respect for library hours and other reservations.
Food and beverages are permitted during library meeting room use. Alcoholic beverages are not permitted.
Library meeting rooms are not available for the following uses:
- Private parties (e.g. birthday parties, memorials, wakes, showers, graduation parties)
- Meetings or events that charge for attendance, or whose primary purpose is commercial (e.g. selling products or services or soliciting business).
Access to and use of audiovisual technology, such as projectors or microphones, must be requested in the booking request. Library staff may not be available to provide technical support at the time of the meeting or event.
Permission to use library meeting rooms does not constitute endorsement of any kind by the library, the City of Littleton, or any employee or volunteer. Any advertisement or announcement of meetings or events held at the library under this policy may indicate the library and its address as the location of the meeting or event but may not include the library’s logo or other contact information and may not claim or imply endorsement.
The library reserves the right to cancel, modify or refuse the use of meeting rooms at any time to ensure safe and orderly operation of library services.
Groups shall use and occupy the meeting room only in a manner that complies with all applicable municipal, state and federal laws, ordinances, executive orders, and library rules and regulations, including the Code of Conduct. The library reserves the right to revoke meeting room privileges at any time for violations of this or other library policies, procedures or guidelines.
